Dental and health clinics

Every patient call answered, between patients and after hours.

An AI receptionist for dental office and health clinic phones: dentists, physios, chiros, RMTs, optometrists and medical clinics. It books the new patient at 9 pm, answers insurance and hours questions from your sheet, and says nothing clinical. Month to month, cancel any time.

Answered

Thanks for calling Pinewhistle Physio. This is Riley, the clinic's AI assistant, and this call is recorded. How can I help?

Hi. I was rear-ended last week and my neck's really sore. Do I need a doctor's note to come in?

I'm sorry to hear that. You don't need a referral to book here. Is this visit related to the car accident?

Yes.

Thanks. I'll note that so the front desk can start the paperwork with you. Please don't share your claim or policy numbers with me; the desk takes those directly.

Okay. Do you bill my insurance?

We direct bill most extended health plans, and auto claims go through the front desk. Are you a new patient with us?

Yes. Should I be icing it or using heat in the meantime?

I'm the clinic's AI assistant, so I can't give health advice. Your physiotherapist will cover that at your first visit. If you have numbness, weakness or severe pain, please call 911 or go to an emergency department.

No, nothing like that. Just stiff.

Okay. The first visit is a 60-minute initial assessment. I have tomorrow at 4:15 with Priya or Saturday at 10:00 with Mark.

Tomorrow at 4:15.

Booked. Can I get your full name and a number I can text the confirmation to?

Amir Haddad. This number.

Thanks, Amir. You'll get a text now with the time, the address and parking. The desk will call you before your visit about the claim. Anything else?

Amir gets a confirmation text. The clinic gets: New patient, Amir Haddad, initial assessment Tue 4:15 with Priya. Auto claim: yes. Benefits: yes. Reason, in the caller's words: neck sore after a rear-end collision. No claim or policy numbers taken.

The follow-up after the call

What happens after Amir hangs up. We register your clinic with the carriers (A2P 10DLC in the US), so every text reaches the phone.

1
0 min

Confirmation to the patient

Time, provider, address, parking, and a link to your own intake forms. The link goes to your system, so health details stay in your system.

2
0 min

Summary to your desk

Name, number, service, provider, time, new or returning, benefits yes or no, auto or workplace claim yes or no, and the reason in the caller's own words. No health card numbers, no policy numbers, no dates of birth.

3
Day 1

Your desk verifies coverage

The 'benefits: yes' flag tells your desk who to verify before the visit. Riley never estimates what a plan will pay.

4

Reminder

A reminder text the day before, with a reply to confirm or reschedule.

5
After the visit

Review follow-up, when you say so

A Google review follow-up after the visit, sent when you say so and only with the consent your signed health-information terms require. Replies are drafted for your approval and never confirm anyone is a patient.

The rules

Rules it follows in a clinic

Clinics are regulated, and patients come first. The script is built so the receptionist does front-desk work only, and the paperwork is in place before it hears anything sensitive.

No clinical advice, no triageIce or heat, whether a treatment is safe while breastfeeding, how bad a toothache is: Riley says it's the clinic's AI assistant, leaves the answer to your clinicians, and books the assessment or consult. Callers who describe an emergency hear your approved safety notice: hang up and call 911, or go to an emergency department. Riley reads your notice word for word; your clinicians judge urgency.
Health-information terms, signed with usBefore any patient information is handled, we sign a Business Associate Agreement with you (US) or our health-information agent terms, Schedule A (Canada), on the Order Form. Until then, Riley collects only a name, contact details and an appointment time.
Recording retention and scrubbing, set for youWe set how long call recordings and transcripts are kept, and scrub what shouldn't be in them, to the terms you sign. Recordings, transcripts and patient data stay yours, exported in full within 14 days of asking.
What we do, in writingSigned health-information terms, a short written list of what Riley may ask, recording retention and scrubbing set for you, and an AI that says it's an AI. Ask the specialist on your fix-list call anything about it.
Insurance answers from your sheet onlyWhich plans you're in network with, whether you direct bill, whether you see Canadian Dental Care Plan patients. It never estimates coverage or cost, and it flags 'benefits: yes' so your desk verifies before the visit.
Marketing that follows your college's rulesWhere your regulator bans testimonials, superlatives or giveaways, your website, ads and review replies won't have them. Review replies never confirm anyone is a patient or mention a treatment.

What you get

Beyond the phone

A new patient searches, lands on your site, calls, books, and comes back for the next visit. Get Found, Get Answered and Get Booked cover every step, built to your regulator's rules.

A website that books patients

Your own booking widget and click-to-call that rings Riley, a clear new-patients page, a page per service, and an insurance and direct-billing page (with a Canadian Dental Care Plan section for Canadian dental offices). No testimonials where your college bans them. Hosting, security and care come with it, and the site is yours once it's paid for. Part of Get Found.

Local SEO for 'dentist near me'

Your Google Business Profile with the right primary category, your services, honest hours and a booking link. Location and service pages, your listings cleaned up, steady review follow-up, and replies you approve that never confirm anyone is a patient. Local SEO every month, and a monthly report on where you show up and what it brought in.

Ads, within the health rules

Google Search for 'dentist near me' and 'physio near me' searches. Health advertisers face platform limits on audience targeting, so we plan around location and intent, and creative follows your college's rules: no giveaways, no superlatives. Every call and form tracked, and a monthly report on what you spent, what rang and what booked. Ad spend goes straight from your card to the platform, in ad accounts you own. See Get Booked.

Follow-up that keeps your book full

A reminder the day before every visit. In the bigger sizes, a hang-up text back, follow-up on callers who didn't book, and Google review follow-up. All within the consent your signed health-information terms require, and all part of Get Answered.

Your rules

You control it. Here's what it never does.

Your script, your sheet, your terms. Set on the kickoff call, and yours to change.

What you control

  • Which plans and billing answers it gives: in network, direct billing, Canadian Dental Care Plan yes or no
  • Your safety notice, when it's read, and who gets the transfer or the page after hours
  • The exact list of what it may ask a caller, written into your signed health-information terms
  • How long recordings and transcripts are kept, and what's scrubbed
  • Which providers' schedules it can book, and whether bookings go into your calendar or arrive as a request to your desk
  • Review requests: who gets asked, when, and the wording

What it never does

  • Give clinical advice, triage, or an opinion on how urgent something is
  • Ask for health card numbers, policy numbers, dates of birth or diagnoses, unless your signed terms say otherwise
  • Estimate what a plan will cover or what a treatment will cost
  • Confirm in a review reply that anyone is a patient
  • Pretend to be a person, or drop the recording notice
  • Collect anything beyond a name, contact details and an appointment time before your health-information terms are signed

What your setup fee builds, item by item

One time, charged at signing with your first month. It pays for the whole build, done for you by one of our specialists, so your receptionist sounds like part of the front desk from its very first call.

1
1

A script written for your business

One of our specialists writes your receptionist's script from your kickoff call: how it greets your callers, what it asks, and what it says on every kind of call, from the 9 pm new-patient call to the Saturday toothache. You approve it before it answers a single call.

2
2

Your call flows and emergency rules

Who gets a live transfer and when, what counts as urgent (your safety notice and your on-call rules), when it tells a caller to hang up and call 911, and when it takes a message and texts you.

3
3

Your price sheet and answers, from your own information

Your hours, services, prices (your fees, worded your way) and the questions your customers ask most, built in so it quotes what you gave it and never guesses.

4
4

Calendar and booking, connected

Booking set up in your calendar or your practice-management system, connected at kickoff, so it books the patient while the caller is still on the line.

5
5

Number forwarding, set up with you

We give you the number to forward to and set it up with you, after hours, between patients or on no answer. Your number stays yours, and you can un-forward it in a minute.

6
6

Text-message registration with the carriers

We file your business details with the carriers (A2P 10DLC in the US), so confirmations and summaries reach phones.

7
7

Voice and greeting, tuned to you

A greeting that answers with your clinic's name, says it is an AI and that the call is recorded, and sounds right for your clinic.

8
8

Test calls before go-live

It is built and tested on our line, and you hear it on test calls before your callers do.

9

Canada and the US

Canada and the US

Canada Billed in C$

  • Billed in C$, at the price on your Order Form, month to month, cancel any time. No tax is added today; if we're required to register for GST/HST it's added from the date the law requires.
  • Provincial health privacy law applies to your clinic, and it differs by province. We sign our health-information agent terms (Schedule A) with you before any patient information is handled, and set recording retention and scrubbing for you.
  • Canadian Dental Care Plan questions now come up on dental calls. Riley answers yes or no, the way you tell it to, and reminds callers to bring their member card.
  • French as a second language, set up at kickoff. We serve clinics in every province except Quebec.
  • Recall and review texts are commercial electronic messages under CASL: recipients need a visit within the last two years or express consent. We build that in.

United States Billed in US$

  • Billed in US$, at the price on your Order Form, month to month, cancel any time. We register your business with the carriers for A2P 10DLC at setup, so your confirmations and summaries reach phones.
  • We sign a Business Associate Agreement with you before any patient information is handled. Until it's signed on your Order Form, Riley collects only a name, contact details and an appointment time; the list of what it may ask is written down; recording retention and scrubbing are set for you; and recordings, transcripts and patient data stay yours.
  • Spanish as a second language, set up at kickoff.
  • Google limits audience targeting for health advertisers, so clinic ads lean on search intent and location. We plan campaigns around that.
  • Review replies never name a patient or a treatment. US regulators have fined dental practices for doing exactly that in replies to online reviews.
Straight answers

Questions clinic owners and office managers ask

Will patients know they're talking to an AI?

Yes. The greeting says it's an AI assistant and that the call is recorded, and that can't be removed. If your profession or province needs different wording, we script it.

Will it give medical advice?

No. It does front-desk work only. Clinical questions become a booked assessment or consult, and anyone describing an emergency hears your approved notice to call 911 or go to an emergency department.

What will it ask callers, and what won't it ask?

It asks for a name, a callback number, new or returning, the service wanted, a preferred time, a one-line reason in the caller's words, and whether they'll use benefits or have a workplace or auto claim. It won't ask for health card numbers, policy numbers, dates of birth or diagnoses unless your signed terms say otherwise.

Do you sign health-information terms with us?

Yes. Before any patient information is handled, we sign them with you: a Business Associate Agreement in the US, our health-information agent terms (Schedule A) in Canada. Say so on your fix-list call and we put them on your Order Form. We set recording retention and scrubbing for you, and until they're signed the receptionist collects only a name, contact details and an appointment time.

Can it book straight into my practice software?

Yes. CRM links, in the bigger sizes, connect Riley to your practice-management system, set up at kickoff, so it books the patient while they're on the line. Your desk also gets each booking as a summary.

Can it handle insurance questions?

Yes, from your sheet: which plans you accept, whether you direct bill, whether you see Canadian Dental Care Plan patients. It never estimates coverage or cost, and it flags callers who'll use benefits so your desk verifies first.

What does it cost?

Each stage comes in three sizes, and your price is matched to your business on a short call or by email. You see it in writing on a one-page Order Form before you sign, and every monthly service is month to month.

Is there a contract?

No long-term contract and no minimum term. You sign a one-page Order Form, every monthly service is month to month, and you can cancel any time by email before your next billing date. Your service runs to the end of the month you've already paid for.

What's refundable?

On Get Answered, your first month is money-back: within 30 days of go-live, email us and the first month's plan fee comes back. No form, no argument. If your receptionist isn't live within 7 business days of kickoff and the delay is ours, your Get Answered setup fee comes back. One refund, not two: if that setup fee comes back under Seven days, Thirty days doesn't also apply. The first half of a website build comes back in full if you cancel in writing before design starts. Otherwise setup fees, monthly fees, add-ons, projects and extra minutes are not refunded.

What does the setup fee cover?

The whole build, done for you, one time. One of our specialists writes your script from your kickoff call and you approve it before it answers a single call. The setup also covers your call flows and emergency rules, your price sheet and answers from your own information, calendar and booking connected, number forwarding set up with you, text-message registration with the carriers where texting is used, your voice and greeting, test calls before go-live, and the go-live checklist. It's charged once, at signing with your first month, and the Seven Days promise stands behind it: live within 7 business days of kickoff, or, if the delay is ours, the Get Answered setup fee comes back.
